TERMS AND CONDITIONS OF ENTRY

The Royal Marsden Cancer Charity Banham Marsden March at Home 2024

Thank you for signing up to participate in The Banham Marsden March at Home 2024 to raise funds for The Royal Marsden Cancer Charity. These terms and conditions apply to all those taking part in The Banham Marsden March at Home and by signing up to The Banham Marsden March at Home you agree to comply with them.

If you are registering someone else, you must have permission from them to provide their personal details to us. You confirm that the email address and personal details you provide to us are all accurate, correct and up to date.

We will send a link of these terms and conditions to the email address you give us for each person you register. By participating in the Event each person you register will be deemed to have accepted these terms and conditions.

For information on how we use your personal data in connection with The Banham Marsden March at Home, please see section D below.

A. DEFINITIONS

‘You’, ‘walker’, ‘participant’, ‘I’: anyone taking part in The Banham Marsden March at Home ‘We’, ‘us’, ‘the Charity’: The Royal Marsden Cancer Charity The ‘Event’, ‘The Banham Marsden March at Home’: a sponsored walk taking place on Sunday 12 May 2024

B. THE FUNDRAISING EVENT

  1. You agree that you will comply with any instructions or guidance provided by The Royal Marsden Cancer Charity relating to the Event. This includes not attempting to walk our traditional Banham Marsden March route between our two hospitals on Sunday 12 May 2024. You will be turned away if you attempt to join the traditional Banham Marsden March route.

C. YOUR FUNDRAISING

  1. Any money raised in connection with The Banham Marsden March at Home must be forwarded to the Charity no later than Friday 14 June 2024. You understand that if you are unable to complete the Event you must ask your sponsors if they would like their donations to be refunded.
  2. Fundraising for The Banham Marsden March at Home cannot be restricted to specific research funds or wards. All money raised will be distributed to projects approved by the Trustees of The Royal Marsden Cancer Charity.
  3. The Royal Marsden Cancer Charity will send a medal to you if you raise £150 in sponsorship for The Banham Marsden March at Home (excluding Gift Aid) by Friday 14 June 2024 unless you opted to not receive a medal on the registration form. This must be made up of donations made to the Charity via an online fundraising platform or offline donations sent directly to the Charity (via cheque, voucher, cash or card). If more than one person is collecting donations onto one individual online fundraising page, only the owner of that page will be sent a medal if that page reaches donations totalling £150 or more.
  4. You will comply with any investigations The Royal Marsden Cancer Charity undertakes if it has grounds for suspecting any misuse or misappropriation of funds. The Charity may take any action it thinks fit to establish that all funds are accounted for correctly.
  5. You will encourage donors and/or sponsors to make gift aid declarations where eligible, which may enable us to recover basic rate tax on such donations. D.USE OF PERSONAL DATA

  1. The Royal Marsden Cancer Charity will handle any personal data you provide in accordance with data protection law. For information on how we handle your personal data, please refer to our privacy policy which can be found at https://royalmarsden.org/privacy
  2. You should consider whether you have any data protection obligations in relation to your fundraising activities. To the extent that you do, you agree to comply with those obligations. For example, you should only send to The Royal Marsden Cancer Charity personal data that we need, and you will notify the individual(s) concerned that you are doing so.
  3. The Royal Marsden Cancer Charity have entered into a contract with Funraisin to operate the online event registration system for the Event. Funraisin collects certain information from you as part of the registration process. All information collected by the Funraisin platform will be used in compliance with applicable laws, rules and regulations. We may will handle the data in accordance with term D.1. For more information on how Funraisin will handle your personal data, please refer to their privacy policy which can be found at https://www.funraisin.co/privacy-policy.
  4. The Royal Marsden Cancer Charity will use the information you have provided to send you a fundraising pack in the post, and to contact you about the Event and fundraising. Your personal information may also be used for the purposes of sending communications to you where you have expressly confirmed that you would like to receive further information about the Charity’s work when registering for The Banham Marsden March at Home.
  5. If you are joining Team Banham your name will be shared with Banham to assist with their team registration process.
  6. If you set up a team, your name will listed as team captain and will be searchable on the website for people to find your team.
  7. The Royal Marsden Cancer Charity will be entering into an agreement with a fullfilment company to process the fulfilment of T-shirts and other items for the Event. The Charity collects personal data from you as part of the registration process and shares it with the company for the purposes of fulfilment. All data shared with the fullfilment company will be used in compliance with applicable laws, rules and regulations and will be deleted within two weeks of the Event finishing which will be by 26th May 2024.

E. CONTENT

  1. If you provide photographs or videos taken during the Event to The Royal Marsden Cancer Charity or post any content in relation to the Event on social media forums, you agree that these may be used by the Charity for commercial and/or fundraising purposes.
  2. You confirm that if you are an employee of a company that supports The Royal Marsden Cancer Charity you are happy for your photos to be shared with your employer and they may be used for advertising, publications, marketing material and any other documents that may be made available to the public.
  3. By sending such photographs or videos to us, you are also confirming that anyone featuring prominently in any such photograph or video is aged 16 or over, and that they have consented to their image being used in this way. You shouldn’t send photographs of under 16s to us without written permission from the parent or guardian.

F. LIABILITY

  1. You accept that any risks arising out of your partaking in The Banham Marsden March at Home are your responsibility, and you must take all reasonable precautions to protect your health and safety. The Royal Marsden Cancer Charity does not have any responsibility for these matters and will not be liable to you for anything that may occur.
  2. You are confident that you are physically capable of taking part in The Banham Marsden March at Home. If there is any doubt, you confirm that you will seek medical advice from your GP.
  3. You acknowledge and accept that The Royal Marsden Cancer Charity’s insurance policy will not cover your partaking in The Banham Marsden March at Home.
  4. You will not do anything that threatens The Royal Marsden Cancer Charity’s reputation or name. If you do, the charity has the right to ask you to stop your fundraising immediately.
  5. If you are under 18, you confirm that you have shown these terms and conditions to your parent/guardian, and they have agreed to accept responsibility for complying with these terms and conditions.

G. CORONAVIRUS

  1. You will take precautions and adhere to government guidance in relation to COVID-19 to ensure your safety and the safety of others whilst participating in The Banham Marsden March at Home.

H. FUNDRAISING PACK

  1. The Royal Marsden Cancer Charity will send a fundraising pack, which includes one t-shirt , to each individual who registers for The Banham Marsden March at Home. Whilst we will do our best to send packs promptly, we cannot guarantee they will arrive before Sunday 12 May 2024.
  2. All t-shirts will be sent on a first-come, first served basis, whilst stocks last.

I. TERM

  1. Either you or The Royal Marsden Cancer Charity may bring this Agreement to an end at any time by giving notice in writing to the other. If neither of us has done so by Friday 28 June 2024 it will automatically come to an end unless you let us know that it should continue. When this Agreement ends you must cease all fundraising activities.
  2. The Royal Marsden Cancer Charity may vary these terms and conditions and up to date terms shall be available at request and on our website.
